All room hire bookings are processed by Harriet. Please request to speak to her when calling.

Any electrical equipment being brought into the building for use in a meeting, function or event must be PAT tested by a qualified electrician. We may ask to see a PAT certificate.
The responsibility for this remains with the hirer. All electrical equipment being brought into the building must be identified at the reception at the time of the booking.
Public Address System
If a PA is required for DJs, iPod or CDs one is available to hire for £70
For live music where a full PA is required, one is available with our Sound Technician provided. For reasons of safety and security, this system may only be operated by our Sound Technician. Hire charge £200.
If you are considering booking live music, bands must be acoustic or similar in order for us to comply with environmental noise requirements. Choice of band and technical requirements will need to be approved before booking is confirmed. This is best done by providing links to live recordings. Please ask if clarification is needed. You will need to discuss this with Richard Whitehead our music coordinator.
All catering for events and meetings held at the Bristol Folk House must be booked through the Folk House café, this is a separate business so to make a catering booking/enquiry please contact the café directly. The café does wonderful food at great prices and copies of their menus can also be downloaded here. By confirming a booking at the Bristol Folk House, you are agreeing to the following terms and will comply with all laws and regulations affecting the use of the premises. The Bristol Folk House cannot be held responsible for the behaviour/actions of the hirer or their representatives on/off the premises at any time this includes promotion/flyposting. The Bristol Folk House may at any time withdraw permission for the use of the reserved accommodation and reserve the right to refuse any booking not considered appropriate.
Bookings
• When filling out the room hire enquiry form on our website please make sure you have filled out the time day number of people and all other fields are filled out.
• Please allow setting up/clearing up time as part of your booking.
Health and Safety
• Smoking/ vapour/ e-cigarette are not allowed in any part of the building, we have a courtyard garden where smoking is allowed.
• Please do not block gangways and fire exits.
• The hirer is responsible for preventing disorderly behaviour, overcrowding, and ensuring that health and safety requirements are observed.
• There are fire extinguishers throughout the building and there will always be a fire marshal on duty.
• You will be informed in advance if there is a fire drill planned.
• If there is a fire, please follow the fire procedure listed in all rooms and around the building.
• It will remain the responsibility of the facilitator to ensure all delegates sign in/out at reception and that all delegates are talked through the fire safety procedure.
• You the hirer are responsible for ensuring that all attendees know the locations of the fire exits and fire assembly point.
• The fire safety information is on the back of the door in each classroom, if you are new to the building please let us know and we will be able to talk you through the fire exits.
• A first aid kit and defibrillator are located at reception.
• A responsible person must be present and able to supervise at all times.
Loss/ damage
• Please let us know of any damage to the room or equipment. You may be asked to pay for any items damaged.
• We ask for the room to be locked at all times when not in use and the key is returned to reception if leaving the building.
• Please ensure you have all your belongings with you when leaving the room.
• It is a condition of this agreement that the premises are left in a clean and tidy condition.
• The Bristol Folk House will not be held responsible for loss / theft of any items left unattended by any room hire/ private event attendees.
Noise
• Please do not make excessive noise as this may disturb others in the building or neighbours. We are in a
residential area and have noise restrictions and we reserve the right to terminate a booking if noise levels aren’t
being adhered to.
• In accordance with our public entertainments license all doors and windows must be kept closed while music is
playing.
• For events where a band or DJ is being booked they must be put in touch with Richard Whitehead our music
co-ordinator richard@bristolfolkhouse.co.uk to discuss noise restrictions before finalising a booking.
Equipment
• Any electrical equipment being brought into the building for use at a function or event must be PAT tested by a
qualified electrician. We may ask to see a PAT certificate.
• The responsibility for this remains with the room hirer. All electrical equipment being brought into the building

• We have PAT tested extension cables available at reception that can be used free of charge.
• Cable tidies are supplied on every room and must be used to avoid risk of injury.
• A flip chart, pens, projector or CD player can be booked upon request.
• We have TV screens available in Music Room, Room 2/3, Room 4 and 5 which can be connected to a laptop
through HDMI or SVGA cable and Chrome Cast free of charge.

• For events in the hall or café, if you would like to have a band or DJ a PA may be required to hire. Depending on
the requirements the cost can range from £70 or £200 for the full PA with sound technician included, please
discuss this with our music co-ordinator Richard by emailing richard@bristolfolkhouse.co.uk. If you require a
digital projector cost will be dependant on event and support needed.
Risk assessments/ Insurance
• It's a condition of booking that all groups have adequate public liability insurance. A minimum of £5 million is
recommended. We reserve the right to request a copy of the insurance certificate at time of booking. It's the
responsibility for the hirer to complete a risk assessment for any activities or events. We may request a copy of
this at time of booking.
Children
• As an adult education centre we cannot accept students of less than 18 years for our courses and workshops. As
a private hire we can have people of less than this age in attendance of a room hire but must be covered by the
hirers insurance as we accept no responsibility for delegates of room hire.
• Unfortunately, the Bristol Folk House cannot host 16th 18th or 21st Birthday parties and the Bristol Folk House
reserves the right to refuse bookings if we do not see the booking to be suitable for our venue.
Catering
• All catering for events and meetings held at the Bristol Folk House must be booked through the Folk House Café for any enquiries please email folkhousecafe@gmail.com.
• Unfortunately, no off-site caterers may be used for bookings at the Bristol Folk House or any food/drink to be consumed on the premises without the café’s authorisation.
Weddings/ Events
• Capacity - 150 maximum (this can be discussed depending on requirements).
• We can seat a maximum of 124 for a meal in the hall (3 rows of 6X6ft tables).
• Due to the layout of the room we cannot use the stage for additional space for tables and chairs.
• Any additional lighting brought in to the Bristol Folk House must be PAT tested by the hirer, hired that are PAT tested or purchased from new.
• No party poppers or glitter allowed.
• One of your party will need to oversee meeting and greeting guests and keeping an eye of who is in the building as we do not provide security.
• An itinerary from the band / DJ needs to be provided in advance. Please contact our music co-ordinator.
• The office staff member will be on hand throughout the event.
• We have a very close proximity to our neighbours. No amplified music is to be played in the courtyard area.
• When music is playing in hall and café doors and windows must be kept closed at all times.
• Bar extensions may be purchased for a fee from the café - this late licence entitles your booking to finish at 12pm exit by 1am, an extra hour of room hire will be charged for this (£80 for a hall booking £40 for a café booking).
Animals
• Unfortunately, no animals/pets are allowed inside the building, with the exception of guide dogs and assisted dogs, please make us aware in advance. Dogs are allowed in the courtyard garden/balcony. You are responsible for your dog at all times and may be asked to leave if seen to be antisocial.
Access/ Parking
• Much as we would like to provide access for all, the Bristol Folk House has no wheelchair access or facilities. If you would like more details on access, please ask us for a link to our video showing the access to the building.
• We have no onsite car parking at the Bristol Folk House but there are many paid parking spots in the area. Please ask us for details on parking or see our website for more detail.
• We are on a busy bus route and have plenty of bike racks in our courtyard garden and also out the back of the building.
Cancellations Room Hire
• All cancellations must be sent in writing 7 days before the day of hire.
If prior notice of 7 days before the start of a booking is given only the deposit will be lost.
• For all cancellations after this time, or any no shows, the full booking price will be charged.
• The deposit is always non-refundable.
Cancellations Weddings/ Events
• If you have booked a wedding or event taking place on a Friday or Saturday and you need to cancel we will need to know at least a month in advance.

Deposits
• A deposit for weddings will be required of £300.
• Any damage to equipment/ the building will be charged to you.
• We may ask for a deposit for block bookings made in advance.
• The deposit will be used to offset cleaning costs if, after inspection, the condition is not met. This booking form must be completed and returned in advance or the booking cannot be confirmed.
